Getting Started with Zoom


Locating and Opening Zoom (Windows)
  1. If there is already a Zoom icon on your desktop, skip to step 3. Otherwise, to check if Zoom is downloaded on your computer, click in the search bar at the bottom left of your screen and type in “Zoom”. If it is downloaded, the “Best Match” option will be “Zoom” with the Zoom logo, and it will have subtext stating it is an app. If this is not the case, go to this guide for installing the app.
  2. It is recommended to create a shortcut on your desktop for Zoom so you don’t have to search for it every time. To do this, with the Zoom search still up, right click on Zoom and select the option “Open file location”. Once in the folder, left click on Zoom once to select it, then right click it. Select the option “Copy”, open the folder labeled “Desktop”, and paste it in that folder.
  3. Now that the Zoom app has a desktop icon, double click this icon to open the app.
  4. From the starting screen, select the Sign In option. Click on the SSO button, then enter kenyon-edu as the company domain.
  5. A tab should open in your browser where you can sign in and authenticate with DUO. After doing so, you may close out of the browser tabs.
  6. This should bring you to the homepage of the Zoom app.

  2. It is recommended to create a shortcut on your desktop for Zoom so you don’t have to search for it every time. To do this, find Zoom in the applications list and drag it to the Dock, where you launch most of your applications from.
  3. Now that the Zoom app has a desktop icon, double click this icon to open the app.
  4. From the starting screen, select the Sign In option.  Click on the SSO button, then enter kenyon-edu as the company domain.
  5. A tab should open in your browser where you can sign in and authenticate with DUO. After doing so, you may close out of the browser tabs.
  6. This should bring you to the homepage of the Zoom app. 
Setting Up Your Zoom Profile
Profile Appearance
From the homepage of the Zoom app, in the top right corner, there will be an icon with your initials (or the profile picture for your Kenyon email, if you have one set). To customize your profile, click on this icon, hover over the top option, and then click the “My Profile” option. This will open a web page where you can customize your basic info, including your profile picture, legal name, display name (if you go by something other than your legal name), pronouns, location, company, department, and job title.
Phone Setup
While still on the web page where you customize your profile appearance, look to the left column of settings. Click on the option “Phone”. From here, check that the time zone and area code are correct, then select a 6-digit number to be your PIN that you can use to check your voicemail from a telephone. Once this is done, click the blue Setup box. This will take you to the phone settings page. Here, you can see what your number is and what plan you have. IMPORTANT: Make sure to set your Emergency Address! Next to “Emergency Address” on this page, it will display a default address. Unless this happens to be the address of the building you work in, you need to click edit to the right of it (not Personal Emergency Address below it). Choose “Company Address”, click in the box, and wait for the dropdown. Then, search the dropdown for the address of your building. If you need help figuring out the address of your building, please reference this list: https://www.kenyon.edu/a-z-building-list/. The default Caller ID should be correct, so no need to change it. Set your business hours to whatever times you would be in the office/able to take calls. Any calls made to your number outside of this time will instantly go to voicemail. Lastly, you will need to set up your voicemail, which can be done in the settings just below. You can upload your own audio files, record your own voice with your computer, or make custom text-to-speech ones with the Zoom website. These are the required settings to set for your Zoom phone to work and you can now receive calls via your Zoom phone.
